HIFIS 4.0.60.4 Release Notes

Warning

Before implementing this release, a backup of your database is necessary. Taking a snapshot of your application tier before implementing this update is also important in the event that a roll back of the changes are required.

Please be advised that the upcoming update to the HIFIS application may require an extended amount of time to process.

This update includes a major change where all Client State records will be recalculated to align with the new standard 90-day inactivity policy. As a result, clients who have not engaged with services within the last 90 days may be flagged as inactive. This could impact their status on your Coordinated Access list (including versions generated through custom reporting).

Key recommendations

  • Create a copy of your production environment and deploy it to your sandbox or testing site.
  • Perform the update on the sandbox/testing environment first to evaluate the impact of the recalculation and the overall duration of the process.
  • Verify that all key functionalities and client data behave as expected after the update in the sandbox environment before proceeding with the production update.

It is important to understand how this change will influence your Coordinated Access list and plan accordingly to avoid any disruptions in service delivery and changes to data reporting.

Note: When updating to release 4.0.60.4 of HIFIS, communities will have the opportunity to apply coordinated access consent to every client that currently has explicit consent on their installation. This is for communities who have already “bundled” consent using the existing explicit consent functionality. Choosing to opt-out of this option means that the community will need to manually add the coordinated access consent for each client separately, as applicable. The option will not present itself again in the future.

Please note that Microsoft has ended its support of SQL Server 2014 effective July 9th, 2024. As a result, the lowest version of SQL Server supported by HIFIS will be SQL Server 2016.

We strongly recommend upgrading to SQL Server 2016. Moving forward versions and releases of HIFIS require SQL Server 2016, and Microsoft will not be able to assist with any server related problems experienced using SQL Server 2014. If your community has not yet implemented releases 4.0.58.1 or above, note that updating to release 4.0.60.3 may have an impact on your custom reports. This is due to changes to your database's underlying structure that were introduced in release 4.0.58.1 of HIFIS.

Release highlights

Application Settings

  • The inactivity threshold is now set and locked at 90 days.
  • The Inactivity Threshold field has been removed from the cluster.

Data Export

The Client State and the associated Date of Change are now exported with client records.

System

All client activity records have been recalculated to align with the new 90-day inactivity threshold.

Minor changes

Changes in this release affect the following modules or sections:

Appointments, Consent, Turn Aways

The following actions now reset the client's activity time:

  • Adding a new appointments record;
  • Adding a new consent record; and
  • Adding a new turn away

Case Management

  • The following actions no longer reset a client's activity time:
    • Adding a comment to a case management record;
    • Adding a session to a case management record;
  • Cases will maintain a client's active status as long as they remain open.
  • Added "Referred From" and "Referred To" fields to the case management form.

Consent

  • Enabled editing or removal of the Consent End Date for the "Declined Anonymous" Consent Type.

Housing Placement

  • The following actions no longer reset a client's activity time:
    • Adding a follow-up to a housing placement record; and
    • Adding a placement attempt to a housing placement record.
  • Housing placement records will maintain a client's active status as long as they remain open.
  • Added "Referred From" and "Referred To" fields to the housing placement form.

PiT Count

The latest versions of the VI-SPDAT are now used for Registry Week.

Bug fixes

Bug fixes included in this release:

Application Settings

Resolved an issue where newly entered attestation messages were not saving properly (Issue ID: 770407).

Client Merge

Added functionality to ensure a merge comment is left on the remaining client after a merge (Issue ID: 770454).

Consent

Resolved an issue where clients with expired consent were not exposed to the cluster (Issue ID: 770453).

Data Export

Corrected an issue where some fields displayed "Select an Option" as a value (Issue ID: 770062).

Directory of Services, Service Provider

Fixed an issue where international addresses were not displayed when viewing a record (Issue ID: 770398).

Diversion

  • Fixed an issue where workflow diversion attempts did not appear in the Client Activity Log (Issue ID: 770406).
  • Improved the alignment consistency of the workflow diversion form (Issue ID: 770365).

Encampment

Addressed an error that occurred when the description contained more than one line (Issue ID: 770353).

Housing History

Fixed an issue where deleting a Housing History record left orphaned records (Issue ID: 545312).

PiT Count

  • Fixed an issue where switching from English to French in the scrolling version deleted numerical values (Issue ID: 393922).
  • Corrected alignment issues in the Event Details page (Issue ID: 770400).
  • Fixed an issue in Question 1b, where users were not allowed to select an option (Issue ID: 770457).
  • Properly organized the values in Question 13 (Issue ID: 770360).
  • Resolved an issue where selecting a community deleted other responses in Question 8 (Issue ID: 770358).

Reports

Removed the dependency on hifis.ca from the Report module (Issue ID: 770255).

Turn Aways

Fixed an issue where Turnaways Client Service was not updating in the database (Issue ID: 769894).

Users

Resolved an issue where multiple volunteers could not be added using the Excel template (Issue ID: 770461).

Group Activity

Added an error message when assigning a client with an active service restriction to a group activity (Issue ID: 769951).

Reports

Users with the "Get new reports" right can no longer view custom reports from other Service Providers (Issue ID: 770485).

Housing Loss Prevention

Users can now delete subsidies from Housing Loss Prevention records (Issue ID: 770281).

Client Details

Fixed an issue that prevented clients aged 50-62 from being flagged as veterans. (Issue ID: 770489).
