Housing, Infrastructure and Communities Canada Hybrid Monitoring and Reporting

Description: This bank describes information about monitoring and reporting activities for the implementation and verification of the Treasury Board of Canada Secretariat Direction on prescribed presence in the workplace, which includes proactive monitoring of employee’s compliance with the policy, aggregate reporting and trend analysis. The personal information may include, name, contact information, employee personnel information, employee identification number, turn-style data, attendance and leave reports, employee presence attestation forms, and Internet Protocol (IP) login data.

Class of Individuals: Current and former employees of Housing, Infrastructure and Communities Canada (HICC).

Purpose: Personal information is used to facilitate HICC’s implementation and adherence of the TBS Direction on prescribed presence in the workplace. Personal information is collected pursuant to section 11.1 of the Financial Administration Act.

Consistent Uses: Personal information is used to confirm the work location of employees and ensure they are meeting the hybrid compliance requirements of the department. It may be used for workplace attendance management, measuring occupancy of HICC facilities, ensuring the health and safety of occupants, personnel management, to verify policy compliance and to make decisions that directly affect individuals in select cases of non-compliance. Information will be shared with employees’ direct managers and other HICC employees with a valid need to know to comply with the hybrid directive and shared with Labour Relations in cases of non-compliance. Aggregate information will be shared with senior management. Information may also be used or disclosed for program planning or management, reporting, trend analysis, safety or security purposes, audit, evaluation, statistical, research and/or policy development.

Retention and Disposal Standards: Records are retained for two years after the last administrative action then destroyed.
