Accessibility Hub Personal Information Bank
Description: This bank describes information used by the Accessibility Hub to support HICC’s duty to accommodate obligations, including providing employees and managers with support, guidance and resources, and to accelerate the implementation of the HICC Accessibility Plan. The personal information collected may include the following: name, contact information, employee personnel information, employment equity information, medical information, language, and opinion or views of, or about, individuals.
Class of Individuals: Current and former employees of Housing, Infrastructure and Communities Canada and third party service providers.
Purpose: Personal information is collected pursuant to section 122 (4) of the Accessible Canada Act (ACA), section 24 of the Canadian Human Rights Act, the Financial Administration Act, the Federal Public Sector Labour Relations Act, the Canada Labour Code, the Canada Occupational Health and Safety Regulations, the Government Employees Compensation Act, and/or the National Joint Council Directives. It is collected for the purpose of providing support, guidance and resources on accessibility and the duty to accommodate HICC employees and managers, improving Accessibility Hub services and other internal support services as part of the implementation of HICC’s Accessibility Plan, and supporting the realization of the commitment to creating a barrier-free Canada by 2040 established by the Accessible Canada Act.
Consistent Uses: Personal information may be used for program planning, management, monitoring, evaluation, reporting, trend analysis, audit, statistical, research and/or policy development. In some situations, and as required by law, personal information may be used for disciplinary actions. Other consistent uses are listed in the following personal information banks: Employee Personnel Record – PSE 901, Human Resources Planning – PSU 935 and Occupational Health and Safety – PSE 907.
When required to support an employee’s accessibility request, personal information may be disclosed to HICC management, Accommodation Services, Labour Relations, Information Technology Services, Accessibility Hub, Accessibility, Accommodation and Adaptive Computer Technology (AAACT) at Shared Services Canada, and Ergonomic and Occupational Therapy Service providers. Some anonymized information may be disclosed to the public or to other teams within the Department.
Retention and Disposal Standards: Records are retained for 5 years after the last administrative action/closure of the file, then disposed of in accordance with Library and Archives Canada disposition authority RDA 2021/003.
